Overview Internal Playbook (“IP”, “we”, “our”, or “us”) respects your privacy and is committed to protecting the information you and your organization share with us. This Privacy Policy explains how we collect, use, and safeguard information when you use our website and services. Internal Playbook is a private knowledge system that connects to your organization’s existing documents, such as Google Drive, OneDrive, SharePoint, folders, PDFs, screenshots, and job aides, to make them searchable and usable for your team. IP is built only from your company’s documents and does not use public data, external data sources, or data from other companies.

Information We Collect When you contact us, request a walkthrough, or use our services, we may collect information you provide such as your name, work email address, company name, job role, information about your document systems, and any messages you submit through forms. When you connect IP to your document systems, IP processes internal company documents including SOPs, job aides, PDFs, guides, screenshots, and folder structures. This information remains private to your organization and is used only to provide the IP service.

How We Use Information We use the information we collect to provide and operate the Internal Playbook service, generate accurate answers based on your company’s documents, improve system performance and reliability, respond to inquiries and provide support, and maintain security and service integrity. We do not use your company’s data for advertising, marketing, or training external systems.

Data Privacy and Separation Your organization’s data is never shared with other companies, never used to train other organizations’ systems, never made public, and is accessible only to authorized users within your organization. Each Internal Playbook environment is isolated and built specifically for one company.

Data Security We use industry-standard security practices to protect your data, including encrypted data transmission, secure authentication methods, access controls, and private system environments. Only authorized users from your organization can access your Internal Playbook.

No Data Selling or Sharing We do not sell, rent, or share your data with third parties. Your information is used solely for operating and supporting the Internal Playbook service.

Your Control Over Your Data Your organization maintains full control over what systems are connected, what documents are available to IP, who has access to IP, and you may disconnect IP from your systems at any time.

Data Retention We retain data only as long as necessary to provide the Internal Playbook service. If you discontinue service, your data connections can be removed and access disabled upon request.

Website Analytics and Cookies Our website may use basic analytics and cookies to understand website usage and improve user experience. This does not include access to your internal documents or company data.

Third-Party Services IP may integrate with third-party platforms such as Google Drive, Microsoft OneDrive, and SharePoint. These integrations operate through secure, authorized access and comply with those platforms’ privacy standards.
